Are you ready to meet the requirements of the new General Data Protection Regulation (GDPR)?

The article we have prepared today gives the answers to the most frequently asked questions about the GDPR. Maybe you own a company, maybe you are just an end-user. Whatever the case, don’t stop reading, because the answers you are looking for might be given below.

What is GDPR?

GDPR is the new General Data Protection Regulation. It was adopted on April 27, 2016, by the European Union to control the processing, storage, and usage of individual personal data by other individuals, companies, and organizations.

When does GDPR come into force?

The new Regulation comes into force on May 25, 2018. Anyone who processes personal data is required to comply with the applicable laws. If not, the penalties may reach up to 20 million euro or 4% of the annual company turnover for the previous year (the bigger amount of both should be paid).

How much is the minimum fine in Bulgaria regarding GDPR?

It is not yet 100% sure, but the Bulgarian legislation foresees a minimum fine of 10,000 BGN if you do not cover the new GDPR regulations. This is disputed in a public discussion.

Whom does the new General Data Protection Regulation apply to?

The new General Data Protection Regulation applies to any company/organization that is registered in the European Union and processes personal data. Or monitors individuals, regardless of where exactly the data is being processed and whether or not this is the main business activity of the company or of any of its branches.

Does GDPR apply to non-EU companies?

Yes! Every company that offers products and services to EU citizens and processes their personal data, irrespective of its location, is obliged to follow the rules and regulations laid down in the new General Data Protection Regulation.

What does personal data mean?

According to the Regulation personal data means any type of information about an individual, which is identified or could be identified, for example:

  • first name;
  • family name;
  • ID number;
  • national identification numbers;
  • location;
  • telephone number
  • personal address;
  • IP address;
  • and more;

More information can be found here: https://ec.europa.eu/info/law/law-topic/data-protection/reform/what-personal-data_en

What is meant by personal data processing under GDPR?

The definition of personal data processing is quite broad. It includes many activities such as collecting, storing, changing, sharing, exchanging, etc.

What are my rights as an individual under GDPR?

The General Data Protection Regulation gives the following rights to subjects, whose personal data is being processed:

  • The right to be informed in a completely transparent manner about the ways in which companies and organizations are processing personal data.
  • The right of access to their personal data at any given moment
  • The right to rectify, update, change personal data when it is incomplete or incorrect
  • The right to erase their personal data, widely known as “the right to be forgotten
  • The right to restrict the processing of personal data
  • The right to data portability, which means that every individual is entitled to use their own personal data in a way they deem suitable as well as to share it with other data processors and controllers.
  • The right to object to the ways in which their personal data is being processed and used. This is also valid in the case where personal data is being used for marketing and advertising purposes, research, etc.
  • Right not to become the subject of automated decision making and profiling stemming from the processing of personal data. This way subjects are protected against bearing the consequences and responsibilities of an automated decision made without the involvement of another human being.

What are my legal obligations as a company/organization/personal data processor under GDPR?

The new General Data Protection Regulation introduces new rules and obligation for everybody who processes and stores personal data. Here are some of them:

  • GAP analysis – an analysis that aims to determine does a specific company/organization (which is a personal data administrator/processor) meets the GDPR requirements. The analysis can be done internally – in the company or externally – with the assistance of a consultant or a consulting company;
  • Processing and reporting – All personal data must be processed according to the principles laid down in GDPR and this must be proved at all times.
  • Protection – Individual personal data must be protected against violation at every stage of its processing and use.
  • Data Protection Officer (DPO) – Each company/organization/personal data processor must appoint a Data Protection Officer if:
    – its main business activities are related to the processing of personal data on a large scale or to the regular and large-scale monitoring of individuals. This includes tracking and profiling of individuals on the Internet (even for advertising purposes). Including banks and financial institutions, telecommunication operators, GPS service providers, video surveillance (CCTV services), behavioral ads;
    – if the administrator has more than 250 recruited employees.
    – if the administrator processes personal data of more than 10 000 individuals
    – if the administrator processes special or so-called “Sensitive” personal data on a large scale – such as all hospitals, health establishments, pension, and insurance companies
    – when it comes to public authorities except courts in performing their judicial functions. The official data protection officer (DPO) should have had the relevant training and the organization itself will tell how much he/she meets the new regulations. It is advisable to have a good knowledge in the field in which he/she works. As well as good practices for the protection of personal data.
    -This obligation can be “outsourced” and an external DPO appointed;
  • Impact assessment – An impact assessment on the protection of personal data and consumers has to be done once every two years;
  • Risk assessment – an assessment is made to show the potential risk of loss of personal data or breakthrough/hacking in the protection of the organization and the potential damage;
  • Notification – Data processors are required to notify Data Protection Authorities if any breach to the processing of personal data has been identified.
  • Assessment – An assessment of the impact on personal data protection is mandatory.
  • Consultation – If the assessment shows that the risk is high and the data processor does not take the necessary precautions to reduce it, the data processor is obliged to have a consultation with the Data Protection Authority before processing any personal data.
  • Security – Personal data security must be ensured at all times and, if necessary, the appropriate technical and organizational measures should be implemented. For this purpose, each company must have updated internal rules and policies compatible with GDPR;
  • Documentation – Each company must keep strict documentation (or register) and document the listed obligations above. This task is a responsibility of the Data Protection Officer (DPO). Also, logs about what’s happening on a particular website need to be kept.
  • And more.

What information must I provide to the subjects whose personal data is being processed?

No matter what business activity you do, be it online or offline, you must inform the subject whose personal data is being processed about the following:

  • Who are you and does your company/organization do
  • Contact details of your company, as well as the contact details of your Data Protection Officer (if you have appointed one)
  • Why you collect and process personal data and what exactly it will be used for
  • What categories of personal data you collect
  • On what legal grounds you process personal data
  • For how long their personal data will be stored
  • Are you going to share their data with third parties
  • Will their data be transmitted outside the EU
  • Explicitly state their rights with regard to personal data processing (right of access, information, etc. mentioned above in our article)
  • And more

This information can be included in your “Privacy policy”. Another idea is to create a separate “Cookie Policy” page and describe all of this along with types of cookies and tracking technologies you are using for collecting personal data.

How will GDPR affect your online business?

The new General Data Protection Regulation was enacted for the purpose of protecting the rights of the sides participating in the exchange of personal data online. In other words, under GDPR the interactions and relationships between any business and its customers are facilitated and the flow of information between the parties is secured.

Thus, personal data protection is guaranteed, data abuse and Spam (unsolicited or undesired electronic messages) are reduced considerably.

What changes should I make if I have a website that collects personal data?

After doing a GAP analysis to determine the extent to which you meet the new requirements (mentioned above in the article), they should also be included on your website. Every website user/visitor must explicitly agree to have their personal data processed.

You must also:

  • Renew your “Privacy Policy“, including a “Cookie Policy“, and describe everything that we mentioned above.
  • Update your “Terms of Service“. * We advise you to consult a lawyer regarding this topic!
  • Enable users to disable cookies, tools and other technology which collect their personal data
  • Ensure that users are able to have their personal data deleted from the database of your eCommerce website or another type of website. As already mentioned, provide them “the Right to be forgotten”.

Who will monitor the compliance with GDPR?

The full list of Data Protection Authorities per country can be found here: http://ec.europa.eu/justice/article-29/structure/data-protection-authorities/index_en.htm

3 major updates to Facebook News Feed in 2018 https://speedflow.bg/en/new-updates-facebook-news-feed-2018/ https://speedflow.bg/en/new-updates-facebook-news-feed-2018/#respond Thu, 01 Feb 2018 11:24:01 +0000 https://speedflow.bg/?p=11876

Last month Facebook announced that they are making three major updates in the way the whole social media network works. The changes will completely revamp the algorithm which is responsible for the order in which posts appear in individual News Feeds.

As it’s already clear from our blog article “Facebook News Feed – changes and their impact on business” the platform is constantly being updated and changed. Here’s what Facebook founder Mark Zuckerberg shares on his wall:

“We’re making a major change to how we build Facebook. I’m changing the goal I give our product teams from focusing on helping you find relevant content to help you have more meaningful social interactions.“

So about the last three updates and they are:

1. More posts from friends and family

Facebook and users

With the new Facebook version, people will see more photos and posts from their friends and family. The same goes to publications that encourage better communication between users in the form of comments, conversations, likes, shares. As a result, there will be fewer public posts from companies, brands, media, celebrities.

Posts that encourage engagement in communication will see a boost in the News Feed. These are for example live videos, group posts, business and media pages that share local events and news important to readers. Have you noticed that the changes are already taking effect and that your News Feeds is dominated by such posts? If not, try. You will definitely see the difference.

Facebook and business

Since space in the News Feed is limited, the new update will undoubtedly have an effect on public and corporate pages. A decline in their traffic is expected. Of course, the magnitude of the changes will vary from page to page depending on the content they publish and how people react to it. Pages that generally cause less interest, have no comments, shares, etc. will notice the biggest decline in reach on Facebook. On the other hand, pages that create prerequisites for dialogue and interaction between friends will not see a significant change.

!Nota Bene: Of course, your content will not disappear completely from the Facebook News Feed section. Facebook now offers to See First, an option where users can set their preferences and thus not miss posts from their favorite pages. The change is not supposed to eliminate public posts, but simply to display more publications from friends and family. The update does not apply to paid Facebook promo!

2. More posts from trusted sources

Shortly after Facebook prioritized posts from friends and family, from the management announced their next step towards bringing communities closer together – optimizing the quality of public posts. This change is aimed to reduce the amount of misleading and fake news. News that users rank as credible and from trusted sources will appear higher in Facebook News Feed. Thus the Facebook team wants to make sure public posts are of good quality and are useful to the global community.

However, it will take awhile for these changes to take place. A considerable number of surveys needs to be conducted. The process has been initiated in the United States and by the end of the year, it is expected that credibility will become one of the signals for post ranking in Facebook News Feed.

3. More regional and local news

There will be more local and regional news in the News Feed according to the latest Facebook update from 29th of January. Your location, the pages you like and the posts from local publishers will determine what you will see first in your Individual News Feed. It is easy to predict that this will have a positive impact on public pages that share local news and are targeted specifically to local communities.

But how does it work?

Is this domain local?

Facebook says: “To determine if a domain is local to you, we look at where its readers on Facebook come from. If you live in the same area as the majority of those people, it is considered local to you.”

Is this domain a news source?

And: “We use a variety of signals to identify news sources on Facebook. These could include hard news, sports updates, a neighborhood blog, or other local sources.”

However, the change will initially start in the US and will gradually spread to other parts of the world.

Don’t forget to follow our blog and be one of the first to find out what other Facebook updates are coming! For now, only time will show.

The psychology of colors in Web design https://speedflow.bg/en/psychology-of-colors-in-web-design/ https://speedflow.bg/en/psychology-of-colors-in-web-design/#respond Tue, 10 Oct 2017 13:17:21 +0000 https://speedflow.bg/?p=11232

A World of Colors

The world around us is full of colors. Their impact on everyday human life is inevitable. Unfortunately, this fact often goes unnoticed. The colors of traffic lights have not been chosen by accident. You probably bought those biscuits yesterday, because you were unconsciously attracted to the colorful packaging. Colors have even invaded our speech. We use them to describe emotions and associations. For example, we say “blackout” for a loss of consciousness, “feel blue” for sadness, or “golden opportunity” for a lucky situation that may never present to us ever again.

Psychology of colors

Scientists have been studying the importance of color in every aspect of human life since ancient times. There are several scientific fields trying to unravel the power of color. Color Psychology is one of them. It considers colors an influencer of human behavior. Numerous studies have shown, for example, that product colors are strongly related to one’s desire to own those products. Did you know that 2/3 of prospects claim they are not going to buy a big appliance if it does not come in their preferred color combo?! Moreover, a person can decide whether or not to buy a product based solely on its looks for less than 90 seconds. 90% of these users say color determines their choice.

Psychology-of-Colors-in-Web-design-by-Speedflow-Bulgaria-web-services

The psychology of colors in Web design

Color Psychology is used exclusively in design. Web design is no exception. The Internet is just as gigantic and colorful as the real World. Thus, when we’re talking about eCommerce website, online products must be color-perfect to ensure successful conversions. You want to persuade visitors to complete a specific action on your website. How? With a precise and strategic web design color optimization.  But be careful. The emotions you provoke in your potential clients may be not only positive but also negative. You aim for sales, don’t you? Here is how Psychology of Colors can be implemented in your web design:

1. Do your Research

There are a number of factors such as gender, age, and culture that make people perceive color differently. Do not generalize. For instance, let’s take a look at the purple and its symbolism in relation to:

  • Traditional meaning: Relates to notions of honor, majesty, aristocracy.
  • Cultural differences: Some cultures In Thailand and South America associate purple with mourning.
  • Brand symbolism: Dark purple often leaves a sense of luxury, exclusivity, and wealth, while light purple hues are viewed as girlish, childish and feminine.
  • Gender Differences: Purple is one of the top three favorite female colors, but is also among the top three least favorite male ones!

And now? One color with so many different meanings. It’s never going to be an easy choice. Therefore, you need to explore your target audience in detail. Do your research. Which market is your website targeting – international or local? Are most of your users male or female? What is their age? How about their preferences? The answers to these questions as well as the guidance of Color Psychology will help you come up with effective web design.

2. Your brand

Next, you need to focus on your own brand. Do you already have an active brand? What are your logo colors? What is the company history? What is your brand message? Build a strategy. But keep in mind that the world is not only black and white. Experiment with your website. Refresh your brand colors with brighter or darker hues for the purpose of your website. But still, keep your brand identity intact.

3. Color synergy

We can go on discussing color synergy for hours, so better leave it for our next blog post. Today, we want to highlight a few key elements:

  • Proper color contrast for good readability and recognizable images.
  • Color harmony for aesthetics, stylishness, and pleasure to the eyes.
  • Fewer colors clustered in one place to avoid the sense of confusion.
  • Color consistency across multiple communication channels for professionalism and increased brand recognition.
  • A professional web designer for top results.

Experiment! If a color combination works for some, this does not mean it will work for all. For example, when Performable changed their CTA buttons from green to red, they increased their conversions by 21%. Ript did the same, but from red to yellow, and got a 6.3% increase! There is no universal recipe.

4. Where should color be placed?

There are several strategic places on your website where color plays a particularly important role. When creating your web design, Color Psychology is crucial for:

  • Pop-ups
  • Outlines and frames
  • Headlines
  • Background
  • Buttons, especially CTA
  • Hero images

What is a Chatbot and how it will benefit your business? https://speedflow.bg/en/what-is-a-chatbot/ https://speedflow.bg/en/what-is-a-chatbot/#respond Tue, 22 Aug 2017 14:18:20 +0000 https://speedflow.bg/?p=11081

I am pretty sure you have had a conversation with a customer service representative at least ones in your life – to get more information about the shipment status of your parcel. To check shoe size in-store availability. Or to simply order food online.  For sure, these customer support representatives have passed several training sessions. They have reread the customer service guides and regulations and have mastered their company business ethics.

However, the customer service process cannot be optimized completely.  Still, the speed and quality of service do not depend solely on the human factor. Exactly the opposite! In most cases, it highly depends on the CRM system and the methodology used by the employee in their work. The answers you are looking for as a client can be 10 clicks away. May require a few minutes of loading the right information or the filling in of some data inside a form.

Is there a solution to these problems? Yes, there is! It is called a Chatbot.

What is a Chatbot?

A Chatbot is a computer program that automatically responds to customer questions. Simulating the feeling of having a conversation with a real person. This communication can be done through text, audio, or other visual elements like images or emoticons. There is no need of having a specific person dedicated solely to replying customer inquiries or redirecting their requests. To get a better idea of what exactly a conversation with a bot looks like, check out the image below.

Chatbot conversation by Speedflow Bulgaria - digital solutions

Currently, most Chatbots communicate with end users through the biggest messaging platforms like Facebook Messenger, Viber, and Skype. Their main purpose is to take the place of applications. What does this mean? Instead of closing Facebook Messenger and opening a particular restaurant app to order food, you can just message the restaurant directly in Facebook Messenger. Quite useful and practical, right? It saves you time, as well as space on your smartphone.

The possibilities of implementing a Chatbot in your business are endless! Top brands have already developed their own customized Chatbots – from Uber and H&M to CNN news, Burger King, Skyscanner, and many others. Chatbots are an effective assistant to clients and help them with:

  • shopping in online stores
  • tracking orders
  • booking cinema tickets
  • booking a hotel room or a restaurant table
  • providing information about the weather, health-related issues and what not

Chatbots and AI (Artificial Intelligence)

Some Chatbots have an AI (artificial intelligence) algorithm integrated into their software. Yes, that’s right – artificial intelligence. This means that they do not base their responses on the preset software template only. They have the “ability” to remember their customers’ questions, as well as the answers they have given them. What is spectacular here is the fact that they use the accumulated data and apply it next time when they have a conversation with the same client. These Chatbots can “evolve” without the need to be continuously updated as the other ones.

How will a Chatbot benefit your business?

Having read everything so far, I am sure you grasped the main business benefits of having a Chatbot, namely assisting clients on diverse matters and improving customer experiences. Anything else? Oh, yes! Below, explore the additional benefits of implementing Chatbots in your business:

Chatbot benefits for business by Speedflow Bulgaria

Eventually, only the happy and satisfied customers will be motivated enough to repurchase your products and services. Chatbots play a significant role in this case. Helping you with improving your customer satisfaction, as well as with:

  • Conducting targeted marketing campaigns
  • Promoting new products and services
  • Sharing popular products and recommending them to your customers
  • Getting free feedback from your clients
  • Collecting analytical data about customer behaviors, clicks analysis, as well as their Chat history
  • It is easy to use
  • Provides the user with quick access to the information needed
  • Chatbots provide uninterrupted 24/7 service
  • There is no need to hire a specific person dedicated to customer service 24/7
  • An opportunity to attract and contact customers from all over the world, regardless of their location
  • And much more

Many people say Chatbots are the future of communication and information technology. Search engines were a boom in the past, now applications are hype. But Chatbots are an investment that’s worth your attention.

If you want to learn more on the topic and are interested in developing your own customized Chatbot, do not hesitate to contact us. We will help you to improve your customers’ online experiences.

Facebook News Feed – changes and their impact on business https://speedflow.bg/en/facebook-news-feed-affect-business/ https://speedflow.bg/en/facebook-news-feed-affect-business/#respond Wed, 09 Aug 2017 15:50:59 +0000 https://speedflow.bg/?p=11048

In June 2017, Facebook announced that more than 2.01 billion people are actively using the platform every month. And the average stay of 20 minutes per visit! The impact of this social network is inevitable for both end users and businesses.  Considering the fact that most people visit it more than once a day.

What do people see in their individual News Feeds? Once they have opened Facebook the news are determined by a complex algorithm that is constantly evolving and improving. Why? Because Facebook wants to create a community, where the information you receive is specifically tailored to your preferences and interests. You have noticed that, right?

Let’s look at the changes Facebook made recently and what their effect on business is.

Fewer links to low-quality websites

One of the main goals is to reduce the negative experiences of users that have clicked on links leading them to poor quality web pages. Pages with non-informative content, and compulsive or shocking ads. After carefully researching and analyzing thousands of links, Facebook created a special AI (Artificial Intelligence). The algorithm that checks every single link. Those of them shared on the platform and will be ranked according to their content quality. In this way, links with bad ranking will appear lower in the News Feed. While those of good quality will be shown up in the News Feed. The result: users will see less misleading and more informative posts.

Effect on business:

These changes will take effect gradually. It is expected that in the upcoming months, posts leading to good quality websites will notice some increase in traffic. While those that do not – a slight decline in traffic. Of course, this will vary from user to user. And corporate pages will still be able to freely share stories and posts of interest to their followers. Therefore, you should carefully review your online shop and website content. Providing excellent online user experience will help Facebook rank your shared website links higher.

More informative links

According to one Facebook survey, there is a group of users who share a large number of links daily thus spamming other users’ News Feeds. To reduce the impact of spammers and the spreading of problematic links such as clickbait, misleading headlines, and sensations, the Facebook team constantly strives to decrease the visibility of those links. However, post ranking is not determined solely by this fact. So initially this new change will only affect links (link to an article, for example), and NOT domains, pages, videos, photos, check-ins, statuses.

Effect on business:

Most Facebook users will not notice any major changes in their News Feed. But this is not of no importance to the business. Тhose who reach a larger audience by sharing spammers’ links may see a small decline in the number of people reached by these specific posts (posts shared by spammers). In other words: Be careful what you share on your corporate Facebook wall. If you share a link posted by a spammer on your professional profile, this particular link will reach fewer people. And this leads to losses of potential customers. You don’t want that happen, right?

Prioritizing links to faster loading pages

About 40% of website visitors will abandon the page if it hasn’t loaded in three seconds. To reduce the user waiting time and improve their satisfaction, Facebook is taking actions. Prioritizing those links in the News Feed witch loads more quickly compared to slower ones. You too would rather spend your time reading something interesting than waiting for it to load, right?

Whether a link loads faster or not depends on both: website loading speed and users’ Internet connection. These two are also taken into consideration when Facebook places a link higher or lower in the News Feed.

Effect on business:

This adjustment will not cause any dramatic changes in your News Feed. But websites that load more slowly can see a drop in referral traffic. Therefore, it is important to improve your website loading speed as well as its mobile version. This is not important only for link rankings on Facebook but also in Google. Most of all it is fundamental for your customers’ satisfaction with your user-friendly design.

You wouldn’t like to miss sales in your online store because your website is loading slowly, right?

Internet and Intranet – What we need to know? https://speedflow.bg/en/internet-intranet-need-to-know/ https://speedflow.bg/en/internet-intranet-need-to-know/#respond Wed, 02 Aug 2017 11:42:44 +0000 https://speedflow.bg/?p=11034

Our short summer break is over, we wiped the sand off our feet and we are ready to reach new heights with You – the readers!

To start you off we have prepared some easy read that will get you more acquainted with the similarities and differences between Internet and Intranet. Yes, you read correctly, there is no typo. Even though probably all of you have some interpretation of the question “What is Internet?”, not many people are aware of Intranet. So let’s make things a little clearer…

Definition

Internet (or the World Wide Web) is a system of interconnected computer networks all around the globe. This is supported by the so-called protocols and more specifically – TCP/IP. Every single link in this chain is connected to the others via a complicated combination of hardware and software. Every computer is identified by a unique set of numbers called an IP address. In order to avoid the tedious task of remembering all these numbers, the addresses can also be represented by names. This is done via DNS (domain name system) addresses.

Intranet is also a network of interconnected computers but it serves the internal purposes of various organizations – companies, government departments, administrative authorities, schools, and universities etc. It works just like a net-within-a-net. Intranet connected computers also have their unique IP address but they don’t need an Internet connection to maintain interaction.

Similarities

In terms of how each network is built, Internet and Intranet have a lot in common. Both use a combination of routers, data cables, servers and other hardware components to ensure connectivity. The protocols they adopt for sharing information are also the same – TCP/IP and FTP (file transfer protocol).

What else? Intranet freely uses the same browsers as Internet, all the various messenger apps are fully functional in both cases too. The same goes for security measures, firewalls and the methods of encrypting/decrypting information.

Differences

As we already mentioned Internet is a global network that is free for anyone to use. On the other hand, Intranet is restricted and offers limited access to selected people. Having that in mind we can define Intranet as the more secure from the two.

In terms of the users and traffic they generate, Internet offers full access to an unlimited number of visitors. Intranet, as mentioned, is set for a limited number of people, each of whom gets a defined traffic limit.

Needless to say, Internet is a much wider network, an inexhaustible source of information, but also useful for commercial purposes. In Intranet you get access to specific information that supports a common goal.

If you are a company or organization, you will need both Internet and Intranet. The first will ensure your employees get access to endless information, networking opportunities and new sales and marketing channels. Intranet, on the other hand, will help optimize the internal communication and processes, which will lead to a more stable and secure working environment.

Speedflow.bg is a long-time “user” of both systems and we are sure we can lend you a helping hand in building your new Internet and Intranet solutions from scratch.

22 steps to comfort an angry customer online https://speedflow.bg/en/22-steps-comfort-angry-customer-online/ https://speedflow.bg/en/22-steps-comfort-angry-customer-online/#respond Tue, 27 Jun 2017 13:09:10 +0000 https://speedflow.bg/?p=10808

A satisfied customer – a prosperous business. Keep this motto in your head because it will pave the successful way for your business endeavors. There is a whole separate science dedicated to pleasing customers and satisfying their needs. Quite often, they are not only looking for the perfect product or service but are deeply impressed by the way in which the latter is being offered and communicated. Special attitude and attention is what strikes the users’ ego and plays a decisive role in their eventual return to the store, be it online or a brick-and-mortar shop.

Online communication is essential because it is the only way through which readers are able to “give a face” to the anonymous business person sitting on the other side of the computer screen. It creates trust between vendors and consumers! So far so good, but how can you keep your head cool when conflict arises and emotions run high? How to comfort an angry customer online and make them fascinated and impressed with your customer service despite the unpleasant circumstances?
Here is a list of 22 simple, yet very effective steps, for not only creating a positive online image but also achieving a high level of client satisfaction:

    1. Comfort an Angry Customer guide

      1. First off, begin with defining explicit and specific Terms and Conditions on your site, online store, fan page, and so on. They are the first source of information in resolving a conflict between two parties.
      2. Keep your eyes open. Keep the fire under control before it has even started. If you notice anything, ask the client: “Is everything OK? Is there anything that bothers you? “
      3. Not only listen but HEAR what the other person is saying. This will help you find the exact reasons that ignited the conflict.
      4. Do your own research. Look into all circumstances that might have caused the unpleasant situation. Are there any third parties involved? Is your system working properly?
      5. Keep calm, anything can be resolved. Conflict is a natural way of communication. Animals have it too.
      6. Think positive. There is always light in the end f the tunnel. You have our word.
      7. Be active and do not be afraid to communicate with your customers, no matter the circumstances. Running away from your problems is not going to solve them.
      8. Reply to any inquiries as soon as possible. No one likes to wait, especially when feeling angry and disappointed.
      9. You need to make people like you! Remind yourself of this rule in times of trouble. Regularly!
      10. Be impeccable in your spelling and punctuation. Commas save lives: “Let’s eat, Grandma” vs. “Let’s eat Grandma”.
      11. Do not state you are right and the client is wrong. Even if that’s the case. Do you remember the sentence we started with? A satisfied customer – a prosperous business!
      12. Use your clients’ names and nicknames when you have established a non-formal tone. Small details turn tables around.
      13. Avoid jargon language and sarcasm.
      14. Do not flare up and act instinctively. This is your business. Always use a professional tone of voice. I mean it – ALWAYS.
      15. Do not attack the client, attack the problem.
      16. Do apologize for the unpleasant situation your client is in. Do not underestimate the power of the three words “I am sorry”.
      17. Put yourself in your client’s shoes. The coin is two-sided, right?
      18. The resolution to a problem should benefit both parties. Sometimes customer expectations are quite unrealistic. Do not settle down for everything your client wants. Appreciate your hard work.
      19. Always assess the conflict on a scale of 1-10. This will help you determine the time and energy you need to spend resolving it.
      20. Think outside the box. Every situation is different. Sometimes a box of candy sent to an address can do the trick.
      21. Provide several problem resolutions to the client. He/she will be more pleased if there is more than one option to choose from
      22. If an agreement is reached, freely express your joy from this mutual victory.
